We are seeking proactive and organised Medical Secretaries & Receptionists for our client’s specialist teams based in Perth's Northern suburbs on a temporary basis, with immediate starts available for the right candidates.In this role, you will provide high-level secretarial and administrative support to a specialist doctor, ensuring smooth day-to-day clinic operations and exceptional patient care.
Day-to-Day Operations:

Deliver outstanding patient care with clear and compassionate communication

Manage and maintain accurate patient data and electronic medical records

Coordinate patient appointments, referrals, clinic preparation, and follow-ups

Conduct clinic audits and track outstanding actions

Provide direct support to your assigned Cardiologist, including:
-
Preparing and stocking consulting rooms
-
Typing dictation and managing correspondence
-
Liaising with referring doctors, hospitals, and health funds
-
Arranging hospital bookings and procedures
-
Screening medical representatives and managing schedules
Support colleagues and ensure effective handovers during absences
Perform general administrative duties, including billing and banking (where required)
What We’re Looking For – Selection Criteria:
Mandatory:
- Strong knowledge of medical terminology.
- Excellent communication and interpersonal skills.
- High level of professionalism and patient care.
- Previous experience in a similar administrative or secretarial role.
- Strong organisational skills and attention to detail.
- Proactive approach to tasks and ability to work both independently and in a team.
- Proficiency with medical software such as Genie.
- Experience working in cardiology or a specialist medical practice.
- Diary and meeting management experience.
- Ability to work effectively under minimal supervision.
Key Performance Indicators Include:
- Clinics prepared and confirmed two days in advance.
- Timely and effective communication with patients and referrers.
- Accurate and efficient typing, booking, and billing tasks (where applicable).
- Collaborative team communication and support.
- Prompt and professional handling of incoming calls.
- Proactive issue identification and resolution.
