We are seeking a highly motivated and enthusiastic Medical Secretary/PA to join our friendly team at our clinic located in Subiaco. 

As a Medical Secretary/PA within our Cardiology practice, your key responsibilities will involve proficiently managing administrative tasks, coordinating appointment schedules, overseeing medical records, and delivering exceptional customer service to patients and healthcare providers. 

Hours: 38 per week, Monday to Friday. Work hours will fall between 8.00am - 5.30pm. Flexibility is required with start and finish times to meet clinic requirements.

Role Responsibilities:
  • Provide comprehensive secretarial support, including clinic co-ordination and preparation, and diary management.

  • Demonstrate excellent customer service to parents, ensuring they are well-informed and comfortable.

  • Effectively communicate with parents and healthcare providers regarding appointment details/changes, referrals and test requirements.

  • Ensure parents are fully informed of all costs/fees and adhere to our payment policy.

  • Handle patient accounts generation and receipting.

  • Assist in booking, confirming, and managing accounts for testing clinics.

  • Coordinate hospital bookings for procedures, tests and admissions.

  • Ensure consulting rooms are properly prepared for patient appointments.

  • Manage administrative tasks, including data entry, filing, and record-keeping.

  • General office administration – perform other duties as required.

About You:
  • Experienced Medical Secretary/PA or similar role.

  • Experience with medical practice management software.

  • High level of patient care/customer service and excellent communication skills.

  • Ability to multitask, prioritise, and manage time effectively.

  • Strong attention to detail and accuracy.

  • Knowledge of medical terminology is vital.
