About the Roles:
Medical Secretary / Personal Assistant
Full-Time | Some local travel between branches required
We are seeking a professional, detail-oriented Medical Secretary or PA to provide essential administrative support to our specialist team. Be the backbone of our clinic operations, providing top-notch admin/secretarial support to our specialist team. This is a hands-on, people-first role.
Key Responsibilities:
- Manage specialist schedules and coordinate patient appointments
- Organise referrals, hospital bookings, and follow up on results
- Perform accurate data entry using medical software systems
- Handle patient correspondence, billing, and account management
- Support general clinic administration, including document preparation and audio typing (desirable but not essential)
- Work closely with other admin staff to ensure daily clinic readiness
- Previous experience in a similar medical administrative or secretarial role is MUST!
- Excellent communication and organisational skills
- Strong attention to detail and ability to prioritise tasks effectively
- Familiarity with medical terminology (experience in specialist is must or cardiology settings highly regarded)
- Strong typing and data entry accuracy (70+ WPM desirable but not essential)
? Full-Time | Tuesday to Friday (compressed week)
This leadership role is ideal for someone with a background in medical practice coordination and team management. You’ll work alongside the Practice Manager to ensure smooth daily operations, high-quality patient service, and a well-supported admin team.
Key Responsibilities:
- Supervise and support a team of medical secretaries and admin staff
- Manage staff rosters, scheduling, and leave
- Oversee patient communication, complaints, and service delivery standards
- Coordinate surgical bookings, private billing, and health fund interactions
- Assist with workflow optimisation, policy development, and staff training
- Perform banking, billing, and financial tasks using MYOB or similar software
- Demonstrated leadership or team coordination experience in a medical practice (essential)
- Minimum experience of 3 years working as a medical secretary or 2IC
- Strong knowledge of Medicare, private billing, and theatre/surgical bookings
- Proficiency with Genie or similar practice software, and MYOB (or equivalent)
- Excellent time management, multitasking, and decision-making abilities
- Professional communication skills and a proactive, flexible mindset
- Tertiary qualifications in healthcare or office administration (desirable)
